Budgets & Spending

Having put together sales and production goals to focus on, you must now set up a monthly budget to ensure that your spending doesn’t outpace your revenue. If you manage to meet or exceed your monthly sales goal but then spend more than the allotted amount in any of the cost categories, you may be putting yourself back into the “hope” category. Using the cost chart, track your expenditures closely. When you use up the dollars assigned to a specific category, you can’t make any more expenditures in that category. The only exception is if you can find unspent dollars in a different category. This is another important technique in business financial management – shifting money, also known as robbing Peter to pay Paul. However the only way you can be in a position to make these decisions is if you are in control of where the money is being spent. Thus, you must update your monthly budget figures on a daily basis.

Another important concept is to be aware if your sales are falling behind so that you can trim your spending in the variable expense categories. Begin by identifying fixed and variable costs. Your fixed expenses cannot be changed and have to be paid. However, most of your variable expenses are controlled by you. For example, maybe you can delay purchasing some office supplies. Perhaps, you can find creative ways to cut down on long distance telephone usage. You may even have to take a temporary pay cut. By tracking your production output on a daily basis combined with logical sales projections, you will be in a position to determine how much money is realistically coming in, so you can adjust your spending habits accordingly.

Of course, everything is easier said than done, thus many embroiderers revert to the hope method. But the reality is that you must be in control and ready to solve problems as they come along. There is no other choice for developing a successful business enterprise. Identify, track, and respond to your cost issues the right way and you will go far. Good luck and I hope you do well.
